A scan of every page, including the blank ones. We file online rather than in person, so the UGE needs the complete booklet — not just the photo page.
Where to get it
Nothing to obtain — you already hold it. If you have two nationalities, use the passport that enters the Schengen area without a visa, and make sure every detail you gave at intake matches it.
How to recognise it
The data page is the one carrying the photograph and two rows of ‹‹‹ characters along the bottom. Those two rows are what we match your intake answers against, so they have to be sharp.

An apostilled criminal background check from every country you have lived in during the 2 years before you apply. Already living in Spain on a valid TIE? Upload its front and back instead.
Where to get it
- NBI Clearance — from the NBIApply online, book a slot, pay the fee, then appear in person for biometrics. Ask for the copy marked for travel abroad — the local-employment copy cannot be apostilled.
- Apostille — from the DFABring the original to a DFA Consular Office. The apostille comes back as a separate page stapled behind it. Do this before you scan — an apostilled copy is bound and awkward to scan flat afterwards.
How to recognise it
A single sheet carrying your photograph, a QR code, and the words NO CRIMINAL RECORD. The apostille is a separate numbered page stapled behind it.

A December-2025 requirement. Official confirmation from your home country’s competent authority that you are registered as self-employed. Unless it is a tax return, it must show at least 3 months of registration before your application date.
Where to get it
Your BIR Certificate of Registration, Form 2303, from your Revenue District Office. Also accepted: tax-registry enrolment, self-employed social-security registration, a commercial or municipal licence, chamber-of-commerce registration, an annual tax return, or proof of tax payments.
- Apostille — from the DFABring the original to a DFA Consular Office. The apostille comes back as a separate page stapled behind it. Do this before you scan — an apostilled copy is bound and awkward to scan flat afterwards.
How to recognise it
A single sheet headed CERTIFICATE OF REGISTRATION, carrying your TIN, your registered activities and the RDO stamp.
Before you upload
- Shows your full name, the registration date, and self-employed status
- Already hold a 2303 for an unrelated business? Do not add a second line of business — amending resets the registration date and can push you back inside the 3-month window.

Your apostilled university diploma or advanced studies, if the degree relates to your role. No related apostilled degree? Mark this Does not apply and accredit 3 years of experience instead — the two experience rows open in its place.
Where to get it
- CAV — from your university registrarRequest a Certification, Authentication and Verification. Registrars are slow — the CAV alone took at least 10 working days on a real case, before the apostille.
- Apostille — from the DFABring the original to a DFA Consular Office. The apostille comes back as a separate page stapled behind it. Do this before you scan — an apostilled copy is bound and awkward to scan flat afterwards.
How to recognise it
The CAV is a certified set issued by your registrar — not the diploma you hang on a wall. The apostille is a separate numbered DFA page.

Your CV in both English and Spanish, as a DOCX file. This is the one document on the whole list you translate yourself — DeepL or ChatGPT is fine, no sworn translator needed.
Where to get it
Nothing to obtain. Write it in Word or Google Docs and export DOCX — not PDF, which is the documented exception to the PDF rule everywhere else on this page.
How to recognise it
Nothing here is hard to recognise. The failure is depth: a CV with one line per role does not evidence the experience it is meant to evidence.
Before you upload
- At least 3 lines of description per position
- If you are accrediting via experience, the positions must relate to your remote-work role — and the dates must match your Certificates of Employment exactly
- DOCX, not PDF

Only needed in some cases. Already visible in the passport pages you sent, or a visa-free passport? Mark it Does not apply. A separate visa page → upload the clear scan. Getting it later → upload as soon as you receive it. If your nationality needs a visa, you cannot skip this row.
Where to get it
From the consulate or visa centre handling your Schengen application. If you already hold one, it is a sticker inside your passport.
How to recognise it
A sticker occupying a full passport page, with your photograph and the issuing country. Most clients only need to know what it looks like to answer the first question — whether it is already in the scan they sent.

Income evidence
Uploaded
Only if your income falls short of the minimum. A bank certificate — not a statement — showing savings that cover the gap over 36 months. A €100/month shortfall needs €3,600. Preferably an account separate from the one receiving your income, in the main applicant’s name; a joint account with a spouse is fine.
Where to get it
Most Philippine banks issue a stamped bank certificate same-day for a small fee. Ask for a certificate of deposit balance, not a statement — the counter staff will offer the statement first.
How to recognise it
A certificate is a letter on bank letterhead, addressed to whom it may concern, carrying a balance figure, a bank stamp and an officer’s signature. A statement is a transaction list. This is the most-templated rejection in the library.

Your bank statements for the 3 full calendar months immediately before your application date. The most recent month must be complete — all expected income received and visible. Applying in March → December, January and February, with February showing all of February’s pay.
Where to get it
A downloaded PDF from online banking is usually not enough on its own — it is the stamp or the notarisation that makes it acceptable. Request the stamped copy at a branch.
How to recognise it
The distinction that matters is the official statement with the seal versus the ordinary PDF export. They look similar and only one is accepted.
Before you upload
- Traditional bank: stamped and/or signed by the bank, otherwise notarised
- Wise, PayPal or other fintech: the official statement carrying the seal, notarised — the ordinary PDF export is not enough
- The most recent month must be complete — every expected payment received and visible

One invoice for every payment visible on your bank statements. Even if you never normally issue them, create one per transaction — any template works, and your client does not need to sign them.
Where to get it
Any tool that produces a clean PDF: a Word or Google Docs invoice template, Canva, Wave (free), or your accounting tool if you have one. The tool does not matter — the four fields and consecutive numbering do.
How to recognise it
A worked example is worth more than the rules here — most clients have never issued an invoice and are inventing the format.
Before you upload
- One invoice per payment transaction
- Combine all of them into one PDF, oldest to newest

Only when your bank statements do not clearly show the client company as the payor. Payment-provider receipts (Wise, PayPal, Deel), a photo of the cheque before deposit, or wire-transfer confirmations for the last 3 months.
Where to get it
- WiseStatements & reports → the statement PDF carrying Wise’s stamp, one per currency, plus the transaction-history export.
- PayPalActivity → Statements → the monthly statements, not the transaction list.
- Deel / UpworkThe payment receipts from the dashboard, one per payout.
- Then notarise the setAny notary. In the Philippines a law office does it same-day for a small fee.
How to recognise it
Where money reaches you through an intermediary we need both ends of the chain — the provider statement and the transaction history — so the money can be traced from your client to your account.

Your actual booked flight into Spain, at least 3 weeks before you arrive. Not a placeholder or a dummy booking — we schedule the whole filing around this date and it goes onto your Phase II forms.
Where to get it
Book directly with the airline where you can — the issued e-ticket carries the booking reference and ticket number we need. Worried about committing before approval? A flexible or changeable fare solves it — the booking must be real, not fixed.
How to recognise it
The distinction worth knowing is an issued ticket with a booking reference against a 24-hour hold or an unpaid agency itinerary — the second is the dummy booking we cannot use.

Your signed services contract with this client — a real services contract, not an offer letter. We have a template if you do not have one.
Where to get it
From your client. If the relationship has never been papered, ask us for the template and have them sign it — but read the timing note below first, because a contract signed today does not fix a submission next month.
How to recognise it
The page that decides this document is the last one — the signature block. A contract that is otherwise perfect comes back if that page is missing, unsigned, or signed by only one party.
Before you upload
- It reads as freelance or services — no “employment”, no benefits, no leave
- Indefinite term, or a term ending 3+ years after you apply
- Signed by both parties, every signature page included
- The signature date is after the client company’s incorporation date
- It states your compensation

A letter from your client authorising you to work remotely from Spain. Have them fill in our template — the instructions are on page 2. One letter per client company.
Where to get it
From your client, on their letterhead. Send them our template rather than describing it — the wording is what makes it acceptable, and a letter written from scratch almost always comes back.
How to recognise it
Our template, filled in and printed on your client’s letterhead, then signed by hand and scanned. A typed signature or an emailed body of text is not this document.
Before you upload
- Follows our format and is wet-signed
- The entity name matches the Certificate of Incorporation and the contract
- Duties align with the contract and do not require physical presence
- Compensation is stated, with the monthly or yearly equivalent in EUR

Your client company’s apostilled Certificate of Incorporation, Good Standing or Existence — the official registry document proving the company legally exists. One per client. A scanned copy is fine.
Where to get it
We can obtain it for you directly in the USA (all states), Canada and Australia; elsewhere we can refer you. On the case we measured this took 100 days from first upload to filing-ready — five times longer than the apostilled Philippine documents.
How to recognise it
A document issued by the registry itself, on its letterhead, carrying a file number and an incorporation date. Clients very often send a company profile instead — a marketing or accounting summary.
Before you upload
- The apostille is of the signing authority’s signature — not a notary’s or a lawyer’s
- The company was incorporated at least 1 year before you apply
- Your contract start date is after the incorporation date
- Non-Convention countries (UAE, Thailand, Malaysia…): attested by the Ministry of Foreign Affairs and stamped by the Spanish Embassy instead of apostilled
